Welcome to Voulen.com (“Voulen”, “we”, “our”, or “us”). By creating an account or using our services, you (“user”, “client”, “customer”, “company”, or “professional”) agree to be bound by the following Terms of Service. Please read them carefully before using Voulen.

1. Service Description

Voulen provides an appointment management software-as-a-service (SaaS) platform designed for businesses and professionals. Through Voulen, you can create, view, and manage appointments, record client details such as names, emails, phone numbers, ages, and notes, and update the status of each appointment as completed, canceled, or pending. You may also add staff members with sub-accounts so they can access and manage the shared appointment list. Voulen does not communicate with or contact your clients on your behalf; the service is intended solely as an internal appointment and note management tool.

2. Account Registration and Access

To use Voulen, you must create an account with accurate and complete information. You are responsible for maintaining the confidentiality of your login credentials and for all activities that occur under your account. If you create sub-accounts for staff, you remain responsible for their use of the service. Any activity conducted through your account or your staff’s sub-accounts will be considered your responsibility.

3. Payments and Access

Voulen operates on a one-time annual payment model. When you purchase a package, you receive access to the service for a full year. At the end of that year, you may manually choose to renew your subscription. Voulen does not automatically charge or auto-renew any accounts.

4. Acceptable Use

You agree to use Voulen only for lawful purposes. Misuse of the service, including activities such as spamming, fraud, or engaging in unlawful conduct, is strictly prohibited. You must not attempt to gain unauthorized access to Voulen’s systems or use the platform in a way that harms our servers, services, or other users.

5. Data and Privacy

You retain full ownership of the data you input into Voulen. We will never sell or share your data. You are solely responsible for the accuracy and integrity of the information you provide. Voulen is not responsible for lost or incorrect data resulting from user error. For additional information, please review our Privacy Policy.

6. Service Availability and Disclaimer

Voulen is designed to provide reliable and consistent service. However, we do not guarantee uninterrupted or error-free availability. Voulen is provided “as is” and “as available,” without warranties of any kind, whether express or implied. We are not responsible for any losses, damages, or missed appointments caused by service interruptions, user errors, or failures of third-party systems outside our control.

7. Limitation of Liability

To the maximum extent permitted by law, Voulen shall not be liable for any indirect, incidental, special, consequential, exemplary, or punitive damages. This includes, without limitation, damages for lost profits, lost revenue, lost clients, lost business opportunities, loss of anticipated savings, loss of goodwill, or loss of data, even if we have been advised of the possibility of such damages. In all cases, Voulen’s total liability shall not exceed the amount you paid for your most recent annual package. You agree that Voulen is not responsible for damages arising from delays, errors, interruptions, internet outages, or any circumstances beyond our reasonable control.

8. Termination of Access

We reserve the right to suspend or terminate your access to Voulen if you violate these Terms of Service, misuse the platform, or engage in unlawful activity.

9. Governing Law and Jurisdiction

These Terms of Service are governed by the laws of the Province of Québec, Canada, together with the applicable federal laws of Canada. Any dispute relating to Voulen shall be submitted to the exclusive jurisdiction of the courts of Québec, in the judicial district of Montréal.

10. Data and Service Limitations

Voulen may modify, suspend, or permanently discontinue the service, in whole or in part, at any time and for any reason, without notice or liability. If the service is discontinued, any data or appointments stored in your account may no longer be available. You acknowledge and agree that Voulen is not responsible for any loss of data, appointments, clients, notes, revenue, or other business damages resulting from the suspension or termination of the service. You acknowledge that Voulen is a digital platform and, like any software service, may occasionally experience interruptions, errors, or failures. Data stored within the service, including appointments and notes, may be lost, corrupted, or become unavailable for reasons beyond Voulen’s control. Voulen does not guarantee the preservation of any data and is not responsible for the loss of data, appointments, clients, revenue, or business opportunities resulting from your use of the service. You are solely responsible for maintaining any backups or records you consider necessary.

11. Pricing Changes

Voulen reserves the right to modify, increase, or adjust its pricing at any time, including introducing new fees or changing existing rates. Any changes to pricing will take effect immediately upon being posted on our website. By continuing to use Voulen after such changes, you agree to the updated pricing. Voulen is not liable or responsible for any losses, damages, or claims that may arise from changes in pricing or availability.

12. Entire Agreement

These Terms of Service constitute the entire agreement between you and Voulen regarding the use of the service. They supersede any prior agreements, understandings, or representations, whether written or oral. Voulen may update or modify these Terms at any time by posting the revised version on our website, and your continued use of the service after such changes will constitute your acceptance of the updated Terms.

13. Refund Policy

All payments are one-time and non-recurring. Access to the platform is provided immediately upon purchase, and for that reason, sales are considered final. However, customers are entitled to a refund request within seven (7) days of purchase. Refund requests must be submitted in writing to our support team during this period. After the seven-day window has passed, no refunds will be issued under any circumstances. Voulen uses a one-time yearly payment system. When you buy a package, you get full access to the service for one year. We never auto-renew or charge your account automatically.
